This policy explains how Two4 Martial Arts Ltd ("we", "us" and "our") collects, uses and protects personal information when you join, train with us, contact us, or use the ClubRight member portal. We handle personal information in line with UK data protection law, including the UK GDPR and the Data Protection Act 2018.

What information we collect
We may collect identity and contact details, including name, date of birth, address, email address and phone number; emergency contact details; membership, booking, attendance and grading information; payment status and purchase history; communications you send us; and photographs or video where consent or another lawful basis applies.
We also collect health and safety information that you provide through our Physical Activity Readiness Questionnaire (PARQ), registration forms, injury updates, or messages to staff. This may include medical conditions, injuries, medication, disability information, and other information needed to help us run training safely. Health information is special-category data and is treated with extra care.
For members under 18, a parent or guardian provides the child's information and manages the account on the child's behalf. We may collect the child's details, parent or guardian contact details, emergency contact details, health information, safeguarding information, and training records.
When you use the member portal, ClubRight and related providers may collect technical information such as device, browser, IP address, login and usage information needed to keep the portal secure and working.
How and why we use your information
We use personal information to manage memberships, bookings, attendance and payments; provide classes and services; contact members, parents or guardians about bookings, changes and important updates; keep participants safe in training; manage injuries, emergencies and safeguarding concerns; maintain appropriate training and grading records; respond to enquiries; meet legal, accounting and insurance obligations; protect the academy, members and staff; and improve our services.
Lawful bases
We rely on contract where information is needed to provide your membership or services; legal obligation where we must keep or share records; legitimate interests where we need to operate the academy effectively and safely; consent where required, including some marketing and media uses; explicit consent or another permitted condition for health information; and vital interests in an emergency.
Who we share it with
We do not sell personal information. We share it only where necessary, including with ClubRight as our membership and booking system provider; payment providers; coaches and staff who need information to run classes safely; insurers and professional advisers; governing bodies where relevant; and statutory, emergency or safeguarding authorities where required.
How long we keep it
We keep information only for as long as needed for the reason it was collected, including membership administration, legal, accounting, insurance and safeguarding requirements. When information is no longer needed, we delete it or anonymise it.
Your rights
You may ask for access to your personal information, correction of inaccurate information, deletion, restriction, objection to certain uses, data portability, or withdrawal of consent where processing is based on consent. Some rights may be limited where we must keep information for legal, safeguarding or legitimate operational reasons.
Children's privacy
We take particular care with children's information. Junior member information is provided and managed by a parent or guardian, who can exercise data rights on the child's behalf where appropriate. Health and safeguarding information about a child is shared only with staff or authorities who need it to help keep the child safe.
Cookies and the portal
The ClubRight member portal may use cookies and similar technologies to keep you logged in, provide bookings and account functions, secure the service, and understand portal usage. Some cookies are necessary for the portal to work.
Security
We take reasonable steps to protect personal information, including limiting access to people who need it and using appropriate systems to store member records.
